Groups and plan creation

woku writes your action plan drafts for you: it analyzes the feedback your company receives and, when a group accumulates enough improvement opportunities, it drafts a plan with evidence, a title, a summary, an objective, expected impact, and concrete tasks so the team can review and approve it. The configuration unit is the owner group: it defines what feedback it listens to, who reviews it, and when woku should create a draft.

Create a group

In Action plans, press Create group and fill out the four sections of the form. Creating, editing, activating, deactivating, or deleting groups requires being an administrator or company owner. Any member can view the groups and their plans.

Group information

• Name: identifies the group, for example Ecommerce Logistics.
• Description (optional): context so the team understands what this group reviews.

What feedback it listens to

Conditions are built from your company’s trackers, in rows of the form When a tracker is a value. For example: When Branch is Santiago Centro.

• Each condition uses the is equal to operator (an exact value) or is any value (all values of the tracker, without typing them one by one). To listen to several complete trackers, add an is any value condition for each tracker, joined with OR if.
• Conditions combine with AND also (both must be met) or OR if (one is enough).
• A group needs at least one condition. Without conditions it does not receive any feedback.

A preview in the same form shows in natural language what feedback the group will listen to with the chosen conditions.

Team and roles

Select the people in the group and assign each one a role:

• Administrator: can review, approve, cancel, and send plans.
• Owner: can review plans and take part in the AI chat.

Every group needs at least one Administrator and at least one Owner.

Generation rule

Define the rule threshold: woku will create a draft when this group accumulates N new opportunities. The default value is 300 and the minimum is 1. In addition to opportunities, woku considers the related recognitions to provide better context in the plan.

Activate and deactivate

From the group detail you can deactivate it: woku stops generating plans for that group and you can reactivate it whenever you want. Delete group removes the group and its configuration permanently.

How a draft is generated

1. Each new comment classified as an improvement opportunity that matches the group’s conditions adds to its accumulated opportunities counter.
2. When the accumulated count since the last plan reaches the threshold, woku generates a draft and the group’s counter returns to zero.
3. The draft freezes an evidence window: the range of dates, the current conditions, the counts of opportunities, recognitions, and comments analyzed, and up to six verbatim customer quotes.

On top of that evidence, the metrics and detected patterns are calculated by the engine deterministically. The AI only writes the title, the summary, the objective, the expected impact, the tasks, and the pattern names. The plan’s priority (High, Medium, or Low) is calculated by the system, never by the AI.

Team notifications

When a draft is generated or extended, each group member receives:

• An in-app notification.
• An email in Spanish with the subject New plan draft for {group} and a direct link to the plan.
